About the position

The Receptionist will be the first point of contact for employees, clients, and visitors, representing PKF Malta with professionalism, courtesy, and warmth. 

The role requires a polished communicator who can speak both Maltese and English proficiently, ensuring smooth communication with local and international contacts. 

The position supports the day-to-day running of the office by managing front desk operations, handling administrative tasks, and assisting with internal coordination to ensure an efficient and welcoming workplace.

Key Responsibilities

  • Front Desk & Communication Duties
  • Greet and welcome all visitors and clients in a professional and friendly manner, ensuring a positive first impression.
  • Manage incoming calls, emails, and correspondence; route inquiries appropriately and take accurate messages when necessary.
  • Communicate effectively in Maltese and English when dealing with employees, clients, and external partners.
  • Monitor the company’s general inbox and ensure queries are directed and responded to in a timely manner.
  • Manage the reception area to maintain a clean, organised, and professional environment.
  • Serve refreshments to visiting clients and guests when required

Office & Administrative Support

  • Handle mail duties including sorting, distributing, and scanning incoming mail, and preparing outgoing courier shipments (local and overseas).
  • Process basic administrative documentation such as leave requests, timesheets, and expense submissions for internal staff.
  • Support procurement by maintaining supplies of office materials, including stationery, refreshments, and cleaning essentials.
  • Liaise with suppliers for reordering and delivery coordination on a scheduled basis.
  • Assist with preparing documents for scanning, printing, and binding.
  • Coordinate with the cleaning and maintenance staff to ensure office facilities are kept in good condition.

Internal Coordination & Support

  • Assist in organising internal meetings and small office events, ensuring refreshments and logistics are in order.
  • Maintain daily attendance records and communicate staff absences to relevant departments.
  • Provide support during interviews by greeting candidates, ensuring interview rooms are prepared, and coordinating with the HR team.
  • Update staff and intern absence logs, ensuring data is accurately recorded and accessible.
  • Support onboarding logistics for new employees by preparing welcome packs and desk setup

Qualifications & Experience

  • A recognised qualification at MQF Level 5 or higher, such as a Diploma or MBA in Business Administration, Office Management, or a related field (Bachelor’s degree preferred).
  • Previous experience in a receptionist, administrative, or office support role preferred.
  • Excellent command of both Maltese and English languages (spoken and written) is essential.
  • Eligibility to work in Malta (valid work permit required for foreign applicants).
  • Strong interpersonal skills, with a professional, courteous, and client-oriented approach.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Organised, reliable, and capable of multitasking in a dynamic environment
